Rental Fees and Charges

Listed below are the current Rental Fees and Charges for reservations in the Main Campus Student Center, Hendrix Theater (inside Mendenhall), Wright Auditorium, Health Sciences Student Center, College Hill Band Practice Field, Brody School of Medicine, and the East Carolina Heart Institute.

If you need pricing or rental rates for any other locations not listed below, please contact the Central Reservations Office at CRO@ecu.edu, or 252-328-4731.

Campus Reservation Fee: Please be aware that campus departments (faculty/staff) will be charged a $75 Reservation Fee for all spaces managed by the Central Reservations Office. Please note this fee is not applied to the fixed set-up conference rooms 234, 236, 237, 320, and 337.

 


 

Main Campus Student Center, Hendrix Theater at Mendenhall, the Brickyard*, & College Hill

The Main Campus Student Center has several meeting rooms and event spaces that can be reserved by ECU staff, faculty, registered student organizations, and external clients. We apologize for the inconvenience, but Hendrix Theater at Mendenhall will be offline due to construction until February 2025.

Please Note:

  • Rental fees are waived for free events sponsored by recognized ECU Student Organizations or Campus Departments
  • Rental fees are only applied to events sponsored by ECU Student Organizations or Campus Departments where an Admission/Registration Fee or Donation is required for admittance
  • Fundraising events are only required to pay 25% of the “Internal User” rental rate if the Student Organization and/or Campus Department completes the Fundraising Questions section in their 25Live reservation request.

Wright Auditorium, Wright Plaza*

Wright Auditorium is a 1488 seat, multi-use theater/auditorium located in the heart of ECU’s campus. This venue is used for a variety of event types, and can be reserved by ECU staff, faculty, registered student organizations, and external clients.

Due to it’s high demand and advanced technical considerations, reservations for this space are subject to approval from both the ECU Central Reservations Office and Production Services. Health Sciences Student Center

The Health Sciences Student Center has a large ballroom space, and outdoor event spaces that can be reserved by ECU staff, faculty, registered student organizations, and external clients.

Please Note:

  • Rental fees are waived for free events sponsored by recognized ECU Student Organizations or Campus Departments
  • Rental fees are only applied to events sponsored by ECU Student Organizations or Campus Departments, where an Admission/Registration Fee or Donation is required for admittance
  • Fundraising events are only required to pay 25% of the “Internal User” rental rate if the Student Organization and/or Campus Department completes the Fundraising Approval Form (available on Pirate Experience) and is approved by the Student Activities and Organizations Office

Brody School of Medicine and Lake Laupus

The Brody School of Medicine has several meeting rooms and event spaces that can be reserved by ECU staff, faculty, registered student organizations, and external clients. Any requests submitted prior to the dates listed, will be DENIED and must be re-submitted on the appropriate date. Brody 2E100, Brody 2E92 and Brody Auditorium are currently available to reserve for the 2024 – 2025 academic year,

East Carolina Heart Institute (ECHI)

The East Carolina Heart Institute has several conference rooms and event spaces that can be reserved by ECU staff, faculty, registered student organizations, and external clients.

Police/Security FeesThe presence of the ECU Police may be required for your event. The ECU Police determine the number of officers required, and there is a 3-hour minimum for this service.$45/hour per Officer
Cancellation/No-Show FeeIf the user/sponsoring organization fails to cancel a confirmed events 2 days prior to the event occurrence, or fails to show up for the confirmed event, they will be charged. $50
Bandshell - MovedAny time the portable stage is moved to another location, the group must pay the moving fee for ECU Transit. $250
Technician on DutyAny time a production services tech is required to assist with technology for duration of event. Any time Pirate Vision is reserved.$15/hour

 


 

Payments & Deadlines

Please be aware of the following policies and procedures regarding payments and deposits for events:

  • A 50% non-refundable deposit is required to reserve space inside Main Campus and Health Sciences Student Centers. The remaining balance must be made prior to event or the event will be cancelled. If you cancel your event two weeks prior to the event date or if a natural disaster causing the university to be closed, your non-refundable deposit can be used towards another date. If you cancel your event less than two weeks before your event, the funds are forfeited.
  • A refundable security deposit of $1,500 is required for Wright Auditorium. Upon final inspection post event, if no damages were incurred and/or excessive cleaning required, the security deposit will be refunded.
  • Payment for room rentals, equipment charges, labor charges, etc. must be made at least seven (7) business days prior to the event date. Events booked with less than ten (10) business days’ notice must be paid for at the time the reservation is made.
  • Student Organizations that have accounts with the Student Government Association may pay charges by furnishing the Central Reservations Office with their budget code (FOAP) number. Groups must receive prior approval from the Student Organization Center Fund Office before supplying the Central Reservations Office with this information. If a budget code is used, charges will be made by way of Interdepartmental Journal Entry Transfer and will be submitted to the CRO Business Affairs Office within one (1) week after the event has occurred.
  • Campus Departments that have campus budgets (FOAPs) should submit payments by way of Interdepartmental Journal Entry Transfer and credit the CRO FOAP detailed on the invoice.
  • For ticketed events, ticket sales revenue is deposited by the Central Ticket Office, and revenues, minus the applicable Central Ticket Office fees, are remitted to the sponsoring organization at the conclusion of ticket sales.
