What is 25Live?

25Live is ECU’s web-based reservation request and event scheduling solution. Built on the latest web technologies and data sharing capabilities, 25Live enables users to view event information and request the use of University space 24 hours a day, seven days a week from any computer with internet capability.

 

Can students reserve space on campus?

No. Students cannot individually submit reservation requests in 25Live. Only registered student organizations are permitted to submit reservation requests.

 

How far into the future can I make reservations?

Most spaces on campus are only reserved one semester in advance. Please see our Important Dates to Remember on the HOW TO SCHEDULE SPACE section of our website for more information about when you can begin requesting space.

 

When can my student organization start making reservations for next semester?

Does the CRO handle academic scheduling at ECU?

No. Our office is responsible for non-academic events. Please contact the ECU Registrar’s Office for more information about academic scheduling.

 

Who can use 25Live?

All ECU staff, faculty, and registered student organizations can use the 25Live system to reserve space on campus (after completing the 25Live Requestor Training).

 

How can I get access to 25Live?

Users must complete the 25Live Requestor Training in order to have access to 25Live. ECU faculty and staff can register for the training through CORNERSTONE. Student Organizations should complete the Pirate Experience Form to assign a 25Live Requestor to their student organization. Each student organization is allowed only one requestor.

 

Why can’t requests for classrooms be confirmed before census day each semester?

The mission of East Carolina University is to provide a place for the highest quality academics. In order to achieve this goal, our students must have the best facilities. To make sure they are in the best facilities, the Registrar’s Office needs to have the ability to move a class freely during the first 3 weeks of class.

Groups and organizations can make reservations in non-academic spaces during the first three weeks; however, space is limited.

 

How long should I wait to hear back from you before sending a follow up email?

Please wait two business days before sending us an email about a request. Please note that during the first 4 weeks of a semester, we receive hundreds of requests and inquiries each day. During that time, it may take longer than usual to receive confirmation or correspondence regarding your request, and additional emails will delay our processing time even further.

 

I submitted a request and it was confirmed. Now, I need to make a change. How can I do that?

Once an event is confirmed, you must contact the CRO to make any changes or cancel your event.

 

What if I need parking for my event?

If your event requires parking, please contact the ECU Parking and Transportation Office via email at eventparking@ecu.edu or phone 252-328-1960 with questions.

The larger the event, the more notice P&T needs.

 

How do I cancel my event?

Once an event is confirmed, you must contact the CRO to make any changes or to cancel your event.

 

How can I ensure that my room will be set up properly?

Please be sure to make note of any custom setup you will need in the “Event Setup and Description” field within the Event Wizard in 25Live. Please note that some rooms do come with “Fixed” setup.

Please contact the CRO if you have any questions about the setup options for the room you’re requesting. If you need to make changes to your setup, please email CRO@ecu.edu with the reference number of your reservation and the changes you would like to make at least 3 business days before your event.

 

What should I do if there is someone else in my room?

Our computer system does not allow double bookings (there is no override function, no administrator rights, etc. that can allow a double booking in our system). Most of the time “double bookings” are caused when people do not read their requests, emails, or reservation confirmations from CRO. Please always keep a printout of your confirmation with you– if the group will not vacate upon request, please contact Campus Safety at 252-328-6787. An officer will respond to your request and remove the occupants.

 

How Do I Reserve Wright Plaza?

Wright Plaza (in front of Dowdy Student Store) can be reserved through 25Live or the Pirate Experience Form under the Student Activities and Organizations “FORMS” section.

 

How Do I Reserve West End Dining and/or Todd Dining Hall for an information table?

West End Dining and Todd Dining can be reserved through the Pirate Experience Form under the Student Activities and Organizations “FORMS” section.
